Q. How do I switch over from ADP® or Paychex®? How do I get started?
A. Most of our clients used another payroll provider like ADP™ or Paychex® before hiring us. We make the process of switching very easy with no downtime at all. In fact, we guarantee that our transition specialists will be successful in moving your current payroll service from another provider to us. For details on the steps we take to transition, please get in touch with us. We'll be happy to go over those details.
Q. Are you SAS 70 certified?
A. Yes, we are Level I and Level II SAS 70 certified. The statement on Auditing Standards number 70 (SAS 70), is a widely recognized auditing standard developed by the American Institute of Certified Public Accountants (AICPA). We submitted to an audit performed in accordance with their strict guidelines and were found to comply or exceed the control objectives and control activities for handling, processing and storing client data. Which in the end, means your data is as safe with us.
Q. I'm using a time and attendance system. Can your payroll processing service use the data generated by the one we're using?
A. Yes, if you can export your employee time data to a CSV text file (comma separated values), XML, or Microsoft® Excel™ file, we can easily import into our payroll system. No problem.
Q. How do you handle clients nationwide?
A. We have payroll clients in all 50 states, so there's not an issue if you're not near one of our regionally located offices or San Diego. You can submit your payroll to us by phone, fax or securely via the internet. However you send your payroll data, we will quickly process it and either send it back to you so you can print off your own checks (saving a day) or send printed checks via FedEx ready to sign and distribute to your employees.
Q. What size of company can you handle?
A. We specialize in handling payrolls of companies with as few as 2 employees to as many as 500. We actually prefer dealing with smaller to mid-size companies so we can give them the excellent one to one service we pride ourselves with.
Q. What type of tax services do you provide?
A. We offer full tax services from calculating employee withholding through all year end tax filings including 940 & 941 quarterly returns and deposits, state unemployment insurance (SUI) returns, all state wage returns, as well as federal and state W2's. Whatever your tax needs are, we have them covered.
Q. When is payroll money swept from my account?
A. Money is swept from your account the day before your payday. For example, if your payday is on the 5th and 20th of each month, your account will be swept on the 4th and 19th of each month to cover your payroll.
Q. Can you handle payroll for workers who work in different states?
A. Yes we do. Multi-state payroll isn't a problem for us at all. We just need to let us know which employees work in two or more states, which states those are and we do the rest. We keep updated on all pending Federal and State tax law changes and update them in our system the moment they come into effect.
Q. How does direct deposit work?
A. It's pretty simple really. Your employees provide us with their personal account and routing numbers and through our bank we securely transfer the appropriate amount to them each pay period. Their pay is conveniently deposited directly into their accounts. They also get a printed pay stub for their records.
Q. I've heard about PayCard. Can you tell me more?
A. Sure. PayCard™ is a brand name for a payroll card. A payroll card is a card that allows an employee to access their pay by using a card that looks and acts like a bank debit card. A payroll card can be more convenient than using a check casher, because it can be used at participating automatic teller machines to withdraw cash, or in retail environments to make purchases. Each pay period, we simply add money to the PayCard account so the employee can keep using their card. There are various fees paid by the employee for choosing to use a PayCard instead of being issued a regular check, but in most cases, the benefits outweigh the downsides to using this method of payment.
